Solution guide · Proposed implementation. All workflows, records, scenarios and acceptance gates below are illustrative proposals, not delivered customer systems or measured results.
HostelSync is in early access according to its official site. Its feature documentation describes allocations, transfers, monthly rent, payment allocation, receipts and property-scoped warden permissions. These documented behaviors are a foundation, not proof of the proposed sector integrations.
An assignment ends in HR at midnight. Housing staff have approved an extension that has not reached HR. A contractor roster contains a second identifier for the same worker. Treating every update as an instruction could release an occupied bed, duplicate a charge or expose a private location.
Agree the boundary between HR and housing
HR confirms assignment references and dates; housing owns the approved accommodation arrangement; finance reviews payment responsibility; facilities maintains the property. Changes should create reviewable events, not silently give each office authority over every decision.
The IFC and EBRD workers’ accommodation guidance addresses employer housing across planning, construction and management. The landing page describes that scope; it is guidance, not software certification or a replacement for local labor and housing law. Use it to frame discovery, then review the actual jurisdiction and workforce arrangement.
Residents need a concern route beyond their line manager. Define who reviews disputes, how residents receive answers and what happens while a decision is unresolved. A housing complaint must not automatically become an adverse employment signal.
Design a minimal assignment-to-housing contract
| Proposed record | Fields and authority |
|---|---|
| Assignment reference | Issuer, stable worker reference, assignment, location, dates, revision and source timestamp |
| Accommodation approval | Requested/approved interval, property or bed, approving owner, policy version and acknowledgment |
| Cost responsibility | Payer/organization, cost center, effective dates, charging basis and finance approval |
| Change request | Source event, requested change, affected dates, supporting reference, decision and reason |
Do not import salary, performance, medical records or immigration documents merely because the export contains them. An acknowledgment shows receipt, not consent to deductions or waiver of rights.
Use compound identifiers across employers and contractors. Worker 123 from one organization must not overwrite worker 123 from another. Link historical identifiers only through reviewed identity resolution; similar names are not enough.
Turn source changes into owned work
Validate a new assignment and create a housing request. A coordinator checks suitability and serviceable inventory, commits the approved allocation transactionally and sends reviewed arrival/contact information.
A date revision produces a comparison between current approval, changed assignment and potential conflict. The coordinator decides whether an amendment is needed. If the feed fails, show freshness and preserve the last approved arrangement while staff follow contingency procedures.
Employment ending alone must not trigger eviction, access removal or bed release. Departure needs a reviewed housing workflow addressing applicable notice, dispute, welfare and legal requirements. Payroll deductions and corrections belong to a separate authorized finance/payroll process.
Worked failure: extension after a termination event
In this synthetic fixture, an assignment ends 30 November but housing is approved through 14 December. The stale HR feed marks the assignment inactive at midnight.
Preserve the stay and create an inconsistency task showing both revisions and timestamps. Do not remove access or advertise the bed. A coordinator verifies the extension with the authorized assignment owner.
The next morning, a contractor sends a corrected record under a new worker identifier. Instead of creating a duplicate resident and charge, route it to identity review. Link records only after approved confirmation; record corrections as linked adjustments.
A finance export made before correction stays identifiable as superseded or awaiting reconciliation. A new export carries the correction and approval. It must not emit an unexplained negative payroll amount or assume that a cost-center change authorizes a deduction.
Engineer contractor boundaries and resident privacy
Every adapter needs schema versions, source revisions, idempotency keys and replay handling. Monitor rejects and delayed feeds: downloading a file does not prove all records were applied.
Contractor administrators may need status for their own workers without access to whole-building occupancy, grievances or another contractor’s staff. Enforce boundaries on search, exports and direct object requests. Housing coordinators should not gain unrelated HR data through a shared credential.
Capture practical accommodation needs under appropriate oversight, with restricted supporting material separate from maintenance. Do not use protected characteristics to rank housing eligibility; authorized staff should review practical requirements to support suitable accommodation. Avoid continuous location tracking or attendance surveillance. Repair closure requires evidence and review; a software status cannot prove safe living conditions. Provide an alternative reporting route for residents unable to use a portal or concerned about employer disclosure.
Evaluate source conflicts, not just import counts
Seed multiple employers, duplicate IDs, missing dates and out-of-order revisions. Define expected housing state first and require every discrepancy to remain visible. No silent record loss is acceptable in the proposed release gate.
Run the extension fixture end to end: stale termination must not remove approved accommodation, mutate payroll or release inventory. Replay correction without a second stay or charge. Test employer, contractor, housing, finance and grievance permissions separately, including denial of line-manager access to private grievance contents.
Have resident representatives and staff review contact/appeal routes. Reconcile the register against reviewed physical inventory and agreements before supervised rollout. Track source conflicts, misattributed charges and overdue repairs as operational findings, not unmeasured worker outcomes.
Keep the first scope reviewable
Connect approved assignments, occupancy and facilities ownership while keeping payroll changes outside automatic execution. Bring roster contracts, housing policies, contractor boundaries and escalation responsibilities. Discovery must distinguish decisions the software records, proposals it prepares and actions retained by accountable people.
Product foundation, sources and next step
The HostelSync owned-product study explains its documented operational workflow. The agreements, reconciliation, external adapters and institutional approvals proposed here require additional engineering. Public documentation is not an authenticated workflow test, payment-gateway readiness, certified identity verification or legal compliance. HostelSync is not established here as a hotel PMS, channel manager, payroll system or hospital platform.
