Solution guide · Proposed implementation. All workflows, contracts, scenarios and evaluation plans below are illustrative proposals, not delivered customer systems or measured results.
A staffing database can contain valuable experience expressed in unfamiliar terms. Search can locate relevant statements; it cannot establish current proficiency, interest in a role or authorization to send details to a client. Keep those as separate facts.
This proposal retrieves evidence for human investigation, not employability labels, automatic exclusion or eligibility decisions. Search position still influences attention, so alternatives, omissions, corrections and a complete record browser must remain visible.
RankZe documents batch parsing and natural-language search. Permission-aware indexing, freshness and client-sharing workflows require additional design and verification.
Store assertions instead of permanent skill labels
Use stable candidate IDs separate from names and email. Store assertions beneath them rather than an authoritative permanent skills list.
| Proposed assertion field | Meaning |
|---|---|
| Assertion and candidate IDs | Stable identity and source ownership |
| Stated skill and original wording | Normalized discovery term beside the actual account |
| Source revision and statement date | Which document said what, when |
| Evidence status and last confirmation | CV assertion differs from a particular assessment or credential check |
| Permitted use | Purpose and audience context |
| Retention review | Owned record-lifecycle decision |
A generic verified badge collapses different evidence. Verification concerns a particular claim and method, not overall ability. Model current interest and client-sharing authorization separately: someone may accept an internal conversation but no client disclosure. Workflow permission fields do not settle lawful basis or notices; those need jurisdiction-specific review.
Search only what the requester may see
Carry authorized recruiter, organization, purpose and permitted dataset in the request. Restrict retrieval before generating passages or answers. Post-generation filtering can leak restricted content through summaries. Apply boundaries to caches, exports, suggestions and revealing result counts too.
Do not support protected/sensitive-trait filters, inferred personality or demographic proxy requests. Explain rejected queries and help restate them around actual work. Protect query logs because they may contain private details.
Show each result’s matching statement, source date and retrieval reason. Distinguish literal matches from terminology suggestions. Mentioning one database tool is a lead, not expertise in every related technology. Allow narrower/broader searches and a neutral browser rather than an opaque similarity number.
A synthetic failure: two records become one person
Two fictional candidates share a name and city. One recent CV describes support; another older document describes pipelines. A weak import merges them, producing a seemingly broad profile ranked prominently.
Identity resolution must be a separate reviewable process. Weak matches create possible-duplicate tasks, not merges. Preserve each assertion’s source ownership. Authorized correction must disentangle records, invalidate affected search entries and identify exports for follow-up without erasing history or assigning every statement to whichever profile remains.
Test whether recruiters notice conflicting sources, people can challenge records and correction reaches the index. A search demonstration without recovery is incomplete.
Keep records alive without assuming availability
Provide candidate/recruiter correction before broader reuse. Distinguish extracted statements from later confirmation. Review dates flag stale information for attention, not penalties against people who have not updated a record.
Recruiters verify relevant experience and current interest through the approved process. Before client export, confirm audience and fields; identify the shared revision. Later correction flags affected exports for an owner, but cannot retrieve every downloaded copy.
The official Europass profile illustrates people maintaining experience and skills records. It establishes neither RankZe integration nor European legal compliance for this proposed database.
Budget for lifecycle engineering
Identity review, versioned terminology, access-aware indexes and change propagation are substantial work. Make ingestion idempotent and indexing status distinct from profile status: a correction can exist before search is rebuilt. Show that delay honestly and withhold stale unauthorized results while revocation propagates.
Define export restrictions, retention, correction owners and escalation across originals, indexes and caches. Document external processing destinations and secure authority before using real CVs; do not send them to services by default. Finer permission rules improve scope control but add synchronization and denial-test requirements.
Evaluate discovery without claiming suitability
Use synthetic queries with labeled passages, synonyms, ambiguous tools and irrelevant near matches. Measure coverage and false matches against statements, not hiring outcomes. Test withdrawals, same-name records, stale interest, cross-client access and sensitive queries. An otherwise relevant unauthorized result fails.
Observe whether recruiters can explain results, inspect contradictions and reach low-ranked records. The UK recruitment AI guidance is a UK governance reference, not a reason to ignore ranking’s actual influence or local requirements.
Prove correction before sophistication
Begin with a bounded dataset, neutral browsing and reliable correction/access boundaries. Expand terminology only when reviewers can understand mismatches and data owners can maintain permissions. Bring intended users, sharing audiences and lifecycle rules to discovery; search sophistication cannot repair uncertain authority.
Product context, sources and implementation discussion
The RankZe product baseline documents CV parsing, configurable criteria, batch processing and candidate search. The source-linked workspaces, correction routes, access boundaries and specialist review proposed here require additional engineering. They are not established RankZe controls, independent skills verification, fairness assurance or sector deployment. Public documentation is not authenticated product testing.
