Solution guide · Proposed implementation. All workflows, contracts, scenarios and evaluation plans below are illustrative proposals, not delivered customer systems or measured results.
Procurement paperwork can include certificates, policy schedules, declarations and scope attachments that are related but not interchangeable. An assistant can locate fields and organize a checklist. It cannot establish authenticity, coverage of the contracting entity or supplier suitability.
This is a proposed new supplier-document system, not a RankZe supplier feature. A CV model is not automatically appropriate for procurement. RankZe’s page provides document-extraction context only; schemas, verification, access and procurement rules need separate engineering and specialist review.
The permitted output is fields, sources, gaps and uncertainty. Qualified staff retain suitability, participation and exclusion judgments. There is no autonomous exclusion, financial reliability score or model-generated accusation.
Begin with a procedure-specific checklist
The owner identifies procedure, contracting entity, jurisdiction and requested evidence, recording why each requirement applies. One purchase checklist is not universal policy.
Separate completeness from acceptability: present but unreadable, readable but incomplete, and complete but unrelated to the entity are distinct. Missing items may need clarification or accepted alternatives, not automatic exclusion or a red/green supplier verdict.
The UK supplier-selection learning module distinguishes evidence, participation conditions and exclusions. It explicitly says its material reflects 2024 work and has not been updated. Use it only as conceptual UK Procurement Act background, not current legal instructions or another jurisdiction’s rulebook.
Define a document-level contract
| Proposed checklist field | Evidence boundary |
|---|---|
| Procedure and requirement version | Approved process-specific request |
| Supplier entity reference | Contracting entity, not a similar group name |
| Document type, reference and stated issuer | Extracted identity, not authentication |
| Valid-from and stated expiry | Source values kept beside normalized interpretation |
| Source page and extraction status | Inspectable passage and unreadable/missing states |
| Verification status and owner | Actual review action, method and accountable person |
Preserve original dates. “04/05/2027” is ambiguous without format context; record unresolved interpretation instead of guessing. Validity differs from upload time and external-check time.
Verification records an action—unchecked, clarification requested or checked by a named reviewer using a specified source. An issuer name or certificate number is not authenticity proof. A lookup miss remains inconclusive unless qualified review establishes its meaning.
Make the entity boundary visible
Organize under the procedure’s supplier while preserving names inside files. Parent, trading name and subsidiary may be related without equivalent coverage. Review relationships using evidence, not similarity.
Show source page beside fields and checklist requirement. Reviewers correct extraction, request clarification, identify unrelated documents or accept alternatives with reasons. Keep final decisions in separately permissioned records. Extraction services cannot change eligibility or dispatch exclusion notices.
A synthetic failure: the schedule names another entity
A fictional package contains a certificate bearing a familiar group name, but its schedule omits the subsidiary involved in the purchase. A parser finds the group name and expiry, then marks the item complete.
Completeness must not imply coverage. Link certificate and schedule, identify processed pages and require entity confirmation. A reviewer seeks clarification or replacement under the authorized process. The system neither declares fraud nor excludes the supplier.
Seed a missing schedule, unreadable entity list and replacement document. Keep old observations attached to their revision, without erasing history or presenting old flags as findings about a replacement.
Engineer specifically for supplier records
Build a dedicated schema and evaluation set. Tables, endorsements, amendments and scope limitations are not CV sections. An amendment may modify rather than replace a certificate; model relationships explicitly. Interpret dates only under known rules, including timezone where relevant.
Use file-security checks, versions and controlled access. Commercially sensitive attachments must not enter unrestricted search or model logs. Minimize processing to checklist needs. Specialist financial material follows its approved process; a general extractor must not infer financial soundness.
Verification connectors need source governance: destinations, sent identifiers and authority. A public portal is not permission for every upload. Source outage produces unknown plus a manual route, never an adverse finding. More reviewable states increase staff workload; budget owned queues rather than hiding uncertainty in a score.
Test fields and human review separately
Use synthetic missing pages, conflicting entities, ambiguous dates, altered references and expired documents. Label expected fields separately from expected review tasks. Correct date extraction can still lead to a wrong suggested action.
Measure omissions, unsupported additions, entity-association errors and false flags. Test original inspection, corrections and reasoned resolutions. Unusually high default acceptance warrants investigation, not celebration: oversight needs evidence, authority and time.
Test replacement uploads, checklist revisions, unavailable sources and revoked access. Every unresolved item needs an owner; decision records identify the evidence revision considered. None of these measures proves trustworthiness or legal compliance.
Start with a bounded evidence workspace
Begin with a few document types and one procedure. Deliver a version-aware checklist, reliable page links and a review queue with no automated supplier decision powers. Domain experts assess observed limitations and current local requirements before expansion.
In discovery, bring synthetic packages, entity relationships, review responsibilities and verification sources. Choose the technical approach only after the evidence boundary and manual fallback are clear.
Product context, sources and implementation discussion
The RankZe product baseline documents CV parsing, configurable criteria, batch processing and candidate search. The source-linked workspaces, correction routes, access boundaries and specialist review proposed here require additional engineering. They are not established RankZe controls, independent skills verification, fairness assurance or sector deployment. Public documentation is not authenticated product testing.
